Jump Recruitment, on behalf of our partner, a small law, mediation, and consulting firm is seeking an Office Manager and Bookkeeper, in St. John’s, NL.  The firm guides couples through end of marriage disputes using mediation and settlement oriented legal services and provides consulting services.

The successful candidate will be responsible for managing overall office systems, including financial operations. The successful candidate will be responsible for file management from initial client intake to closing, including the following duties:

  • Scheduling of appointments and mediations.
  • Providing excellent customer service to ensure a positive experience for clients.
  • Managing various communications and correspondence.
  • Recording and management of all file work in legal practice software.
  • Invoicing, reconciliation of client accounts and bank and credit card reconciliation,
  • Daily financial activities including accounts payable, accounts receivable, and GST/HST remittances.
  • Preparation of correspondence, separation or cohabitation agreements, divorces, and various other legal documents.
  • Other administrative tasks as required.

 

Qualifications & Experience  

  • Legal office management experience is an asset.
  • At least 5 years experience in a similar managerial role.
  • Certificate/Diploma:  Paralegal / Legal Assistant / Business Administration with courses and experience in Bookkeeping.
  • Knowledge of accounting principles and procedures.
  • Knowledge of and/or experience with trust account management.
  • Experience in Family Law and drafting family legal documents is an asset.

 

Computer Skills 

  • Excellent computer skills (Word, Outlook, Excel and PowerPoint).
  • Experience with legal practice software such as CLIO, LEAP, or PC Law.
  • Knowledge of SAGE accounting software.
  • Social media and /or digital marketing knowledge and skills would be an asset.

 

Administrative Skills 

  • Organized, thorough, and have high attention to detail.
  • Excellent communication and interpersonal skills to deal effectively with clients, lawyers, co-workers and team members.
  • Client-service oriented.
  • Ability to deliver quality work on schedule.
  • Strong priority setting skills.
  • Initiative-taking, motivated, and self-directed.
  • Ability to work both independently and as part of a team.
  • Ability to prepare legal documents from instructions and precedents.
  • The nature of this dispute resolution practice is such that the successful candidate may be exposed to disputes between clients. The successful candidate must have a tolerance for such exposure.

 

Salary will be commensurate with experience and include benefits.

Salary range is $49,500 to $59,500.
